Registration & Financial Information Policies

Camp Fees and Payments:

All camp fees are based on enrollment, not attendance. Please see our cancellation policy for more details on specific scenarios where your camper may miss days of camp.


Payment Options:
  • Pay in Full
  • 2 Installments: Pay half now and half June 1
  • 5 Installments: Pay $95 per camp at checkout and then four more payments of $95*

*The 5 installment payment plan of $95 per month is only available through March 1. After March 1st, the payment amount will be equally split between the remaining months.


Deposit

A $75 non-refundable deposit is included in each week’s camp fees and ensures your spot in the program. The $75 non-refundable deposit per camp session is not refundable in any situation.


Waitlist
  • If a camp is full at the time of registration, you can add your camper to the waitlist. If an opening occurs, we will notify you by email. Openings only occur if someone transfers camps or cancels their registration.
  • Once notified via email, you will have 24 hours to register for the camp before we email the next person on the waitlist.
  • Due to the physical limitations of our classroom spaces and our required adult-to-camper ratios, we cannot add spaces to full camps.
  • We may “hide” waitlisted camps once the majority of our camps are full, as this makes finding open camps easier. Just email us and ask, and we can send you the link to add yourself to the waitlist. Thanks!

In previous years most camps have had a waitlist so we often suggest that families register for a week in another camp in order to secure your spot. If there is an opening in your first-choice camp, we can move you and transfer the balance to the new camp.


Extended Day Program

The Extended Care program is available to campers at all locations except The Kruckeberg Botanic Garden.


Morning Extended Care: 8:30 a.m. - 9:30 a.m., Monday - Friday
Afternoon Extended Care*: 3:30 p.m. - 5:30 p.m., Monday - Thursday


Cost: $90 for the week (includes both Morning and Afternoon extended care) Drop-in care is available if space allows, payable by Venmo, cash or check.


*Why is afternoon Extended Day not offered on Fridays during summer camp? Our camp staff use the time on Friday afternoons to clean and pack up the materials from the week as well as prepare for the next week of camp. At many of our camp locations, the rooms we occupy during the week are used by other groups on the weekends. It would be too hectic and unsafe to supervise children while the staff close up camp for the week. Thanks for your understanding.


Adding Extended Day:
You can add morning care, afternoon care or both during the registration process. If you need to add extended day to your child’s registration after you have registered, contact us at camp@girlsrockmath.org to add it to your child’s session. You can add or cancel Extended Day without penalty or fees. If you do not need the entire week of care, you can pay for drop-in care for morning or afternoon care as long as space allows.


Cancellation and Refund Policy

Cancellation requests must be in writing. Please email camp@girlsrockmath.org with your name, child’s name, and registration information including the week, theme, and location of the camp.


Before May 1st:
  • You will be refunded in full, less the $75 non-refundable deposit for each camp that you cancel, with the exception of camps purchased off the waitlist.
  • If you cancel a camp that you purchased off the waitlist, you will be credited the full amount of the camp, less the $75 non-refundable deposit.
  • You may always request to transfer your registration to another week of camp providing there are openings.
After May 1st:
  • We provide a credit for each canceled week, less the $75 non-refundable deposit.
  • Cancellations made less than 14 days in advance of your child’s camp session will not be refunded or credited.
  • You may always transfer your registration to another week of camp providing there are openings. Transfers can occur up to one week before the start of the session.


Camp Transfers

To transfer your camper to a different camp, email your request to camp@girlsrockmath.org. Provide your child’s name and the camp location, week and theme you wish to transfer into. Provided we have an opening, we will transfer your child at no charge.


Credits:

If you receive a credit for a cancelled camp the credit never expires and can be used for your child or her siblings. Credits cannot be transferred to friends or other family members outside of your immediate household.



Contract Camps

Some of our camps are contracted through other organizations, such as a Parks and Recreation Department. You will know if your child is attending a contracted camp if you need to leave our website and enroll through another organization. All contracted camps follow the registration, cancellation and camp policies from that organization. We are unable to transfer a child from a camp that you register for through Girls Rock Math to a contract camp and vice versa.



Missed Camp Days

We cannot refund fees for missed camp days, as your camp tuition is based on enrollment not attendance. We will not offer a refund for missed camp days camp due to vacation, calendar conflicts, or personal choice. If your child is sick and unable to attend due to illness, providing there is space we may be able to transfer your child to a later week once they are no longer symptomatic or contagious. If you decline this offer, the standard cancellation policy applies.



Prorating Camp Fees

When you sign up for camp, please select a camp which you anticipate your child attending the full week. We are unable to register children for partial weeks and do not provide a reduced rate if your child cannot attend the entire week. We recognize that due to travel sometimes children may miss a Monday or Friday. Our camp staff will do their best to make the camp experience positive for any child who misses a day.



If Girls Rock Math Cancels your Session
  • Facility: If Girls Rock Math cannot hold camp due to cancellation by one of our facilities, we will do our best to place your child in a program at another location. If Girls Rock Math is unable to place your child in another program we will offer a full refund, including the non-refundable deposit.
  • Low Enrollment: If we must cancel due to low enrollment, a full refund including the deposit will be issued unless we can place your child in another program. We will notify all families enrolled in camps at risk of cancellation no later than May 1.
  • xtreme Weather Conditions: If 2.5 or more camp days in a session are cancelled due to lightning storms, smoke, fire, extreme heat, air-quality concerns, or other weather conditions deemed extreme, we will offer a refund for the total number of cancelled days, at 50% of the daily rate for your camp session. There is no refund of camp fees if a family opts to keep a child home due to the weather conditions if camp is not cancelled, nor will we refund less than 2.5 days of cancelled camp.
  • Cancellation for other reasons: Girls Rock Math makes every effort to run camp as scheduled. However, in the event that we must cancel camp due to extenuating circumstances such as a Force majeure or an Act of God in which we are not responsible Girls Rock Math will offer families a refund less non-recoverable expenses as determined by Girls Rock Math.
